Psychotherapy and Social Work are regulated health professions in Canada, but unfortunately these private services are not covered under provincial health insurance plans. However, the majority of extended health benefits/employer benefits do cover psychotherapy and social work services (typically in your health and dental insurance package).

You’re encouraged to speak with your insurance provider about counselling services provided by a registered social worker and psychotherapist to determine your eligibility and approved rates of coverage. Also, as of 2012, psychotherapy services provided by registered social workers are now recognized by Revenue Canada as eligible medical expenses that you can claim on your income tax. Please consult your tax specialist for further information.

Most insurance plans cover the services of our clinicians (Registered Social Workers, Psychotherapists, and Psychologists) and we strongly suggest that you have this conversation with them or double-check your benefits package before your first session.

Helpful questions to ask your insurance provider:

  1. Does my plan cover me to see a Registered Social Worker?
  2. Does my plan cover me to see a Registered Psychotherapist (Qualifying) or Registered Psychotherapist?
  3. What is the maximum amount covered per therapy session?
  4. Are there any deductibles?
  5. Do I need a physician’s approval/prescription of coverage for therapy/counselling?
  6. Who else in my family is covered for this service?
  7. What is the annual total coverage amount for this service (per person)?
  8. Does my plan renew at the end of the calendar year (December 31st), or the end of the fiscal year (March 31st)?

At Talk Therapy Canada, all information related to your services is kept in a securely encrypted record keeping system online. Because of the rapid expansion of data technologies, we now manage information through the use of electronic health record keeping, including all billing information.

Through this process, the practice uses diligent levels of encryption and password-protected access to maintain security and safety of digital information. The software that Talk Therapy Canada uses for note keeping houses your data on a secure and encrypted server in Canada.

We put 100% into your treatment and hope you are 100% committed as well.

Our clinicians reserve time in their schedules specifically for you, so we ask for your cooperation by making your best effort to keep and attend scheduled appointments.

No-shows & late cancellations affect not only your treatment plan but also leave a hole in your clinician’s schedule that could have been used by another client.

Please be aware of our policy regarding cancellations and no-shows:
We require 48 hours notice to cancel or reschedule your appointment or you will be charged the full price for the missed appointment. No further appointments may be booked until payment is made.
We do understand that emergencies can arise, making it impossible to provide adequate notice. If this is the case, feel free to discuss your situation with your clinician.

Your confidentiality and privacy are important to us. All records are securely stored in our HIPPA and PIPIDA-compliant Client Management System. They are released only to persons or service providers that you identify in a written consent form. Your records will not be released without your written consent unless they are subpoenaed by court. You have the right to be given a copy of your records. In such circumstances, you will sign a form indicating that you have received these records and assume responsibility for the manner in which these copies will be used.

All personal information will be kept confidential. However, there are times when we are legally and ethically obligated to breach confidentiality without your consent. These circumstances include:

  • Third-party payers responsible for your care will be provided with relevant written and/or verbal feedback.
  • If there is a reason to believe that you are at serious and imminent risk of physically harming yourself or another person.
  • If there is reason to believe that a child is suffering from abuse and/or neglect.
  • If you have been sexually abused by another regulated health professional.
  • A court has subpoenaed your records.

A full discussion about confidentiality will occur in your session and we welcome any questions you may have.

Talk Therapy Canada (TTC) and its affiliates are not an emergency service. Please contact 911 or attend your nearest Emergency Department if you are experiencing an emergency. At the same time, TTC therapists will work with you to identify challenges and difficulties and to develop crisis plans that would assist us with prevention of such emergencies.

If you are experiencing thoughts of suicide and feel unable to keep yourself safe, call 911 now. If you are experiencing thoughts of suicide and feel you can keep yourself safe, TTC can create a safety plan with you, which may include partnering with a close person in your life. In such instances, conducting at least one joint appointment so that this person can have a better understanding of what type of assistance works the best for you and what is expected of them may be recommended. Additionally, open communication with your doctor to ensure a well-coordinated approach to your circle of care while in therapy may also be recommended.
